Privacy notice

Last updated October 24, 2026.

Who we are

Klaarly is software for trade and field-service companies, operated by Klaarly Solutions (“Klaarly”, “we”) in Moncton, New Brunswick, Canada. This notice explains how we handle personal information under the Personal Information Protection and Electronic Documents Act (PIPEDA).

We play two roles:

  • For our website and your account, we decide how personal information is used, and this notice applies in full.
  • For the information your company keeps in Klaarly (your clients, estimates, jobs, photos, crew time and so on), your company is in control and we process it on your behalf, only to provide the service. Your clients should contact your company about their information.

What we collect

On this website

  • The demo form: your name, company, email, phone (optional), trade, crew size and any message you write.
  • The launch list: your name, company, email, phone (optional), trade, crew size, and whether you asked us to email you when Klaarly launches. Sign-ups are stored by our host, Netlify.
  • Technical logs: our host records standard server logs (such as IP address, browser type and the page requested) to keep the site running and secure.
  • No tracking: this website uses no analytics, no advertising and no cookies.

When you use Klaarly

  • Account information: your business name, your users’ names, email addresses and roles, and billing details.
  • Your company’s data: whatever you and your team enter, upload or create in Klaarly.
  • Usage and security records: sign-ins, an audit trail of changes, and error logs.

How we use it

  • To reply to demo requests and set up your company.
  • To provide, support, secure and improve Klaarly.
  • To bill you and keep the records the law requires.
  • To tell you about changes to the service. We send marketing email only with your consent, and you can stop it at any time.

We do not sell personal information.

Where it is stored, and who helps us

Klaarly’s database is hosted in Canada (Supabase, Montreal region). Some of the services we rely on process information outside Canada, mainly in the United States, where it may be accessible to authorities under local law:

  • Netlify: website and application hosting.
  • Resend: sending email from Klaarly.
  • Anthropic and Google: the AI features, used only when you or your team use them. The request contains the content needed for that task.
  • Google Maps: address lookup.
  • Helcim: card payments (Canada). Card details go directly to Helcim and are never stored by Klaarly.
  • Intuit QuickBooks: only if you connect it.

Each provider handles information under its own terms and only to provide its service to us.

How long we keep it

  • Demo requests and launch-list sign-ups: up to 24 months unless you become a customer, or sooner if you ask us to remove you.
  • Your company’s data: for as long as you subscribe. After you cancel, you have 60 days to export it, after which we delete it. Backups roll off within 30 days after that.
  • Billing records: as long as tax law requires.

How we protect it

  • Information is encrypted in transit.
  • The database is closed to direct public access; the app reaches it only through our own server code.
  • Access is limited by user roles, and changes are recorded in an audit trail.
  • Each company’s data is kept separate from every other company’s.

If a breach creates a real risk of significant harm, we will notify the people affected and the Office of the Privacy Commissioner of Canada, as PIPEDA requires.

Your choices and rights

You can ask to see the personal information we hold about you, to correct it, or to withdraw your consent where we rely on it. Company administrators can export their company’s data at any time. We will reply within 30 days.

If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.
